This policy explains what information KHC Precision LLC (“we,” “us,” or “our”) collects when you visit khcprecision.com, place an order, register a free account, or use the licensing and diagnostic features of our KHC Press Console software, how we use it, and the choices you have. We keep it simple because our data practices are simple: we collect only what we need to fulfill your order, ship you items, and support you.

What We Collect

  • Order information. When you buy something, checkout is handled by Stripe on Stripe's secure, PCI-compliant pages. Stripe collects your name, email address, shipping and billing address, and payment details, and shares the order details (but never your full card number) with us so we can fulfill your order. Your payment card details are entered directly with Stripe and never touch our servers.

  • Checkout verification codes. If you have bought from us before, we send a one-time code to your email address — or, if you choose, by text message to the phone number on your customer record — before your saved details are used at checkout. These messages are sent through Amazon Web Services (Amazon SES and AWS End User Messaging) and are used only for this purpose. Codes expire after 10 minutes. If you choose to remember your device, a signed token is kept in your browser for 30 days so you can skip the code; clearing your browser’s site data removes it.

  • Free registration. If you register a free account (for example, so we can ship you evaluation units or parts), you enter an invite code and your email address on our page and complete the registration on Stripe’s secure pages, which collect your name, phone number, billing and shipping address, and, optionally, a business or company name and a note. No payment details are requested at registration, and nothing is charged. Your registration is stored as a customer record with Stripe, the same system that holds our order records.

  • Console software licensing. When a KHC Press Console activates a license, it sends our licensing service the license number, a device identifier, the software version, and a random key the console creates. When it checks in, it sends its seat, the device identifier, and a secret key our service issued to it. The device identifier is a one-way hash of the Raspberry Pi’s serial number; we never receive the serial number itself. For each license we store a keyed hash of the license number (never the number itself) and its last four characters, the customer name we record when you buy it, any private notes we add (for example, about your order or support), and, if we link one, your Stripe customer ID. For each seat we store the device identifier, one-way hashes of the console’s keys (never the keys themselves), the software version, and the activation, last check-in, and end dates. We also keep an activity log of these requests, with a keyed hash of the connecting IP address (never the IP address itself).

  • Phone activation. If you activate a console from your phone at khcprecision.com/activate, the page sends our licensing service only the license number you type and the pairing code shown by the console. We store a one-way hash of the pairing code with a keyed hash of the license number, its last four characters, and the time, until the console collects the pairing or 24 hours pass, whichever comes first. The page sets no cookies and stores nothing in your browser.

  • Diagnostic reports. If you send a diagnostic report from the console, it includes your company name, your first name, a description you write, and a summary of the console’s software, press status, and recent errors, and it may include a bundle of the console’s logs. Before sending, the console removes Wi-Fi network names, license details, PINs, and passwords. Your description and the diagnostic summary are published as a public issue on GitHub (github.com/Shane-Cotta/khc-press-console) so problems can be tracked in the open. Your company name, first name, device identifier, and the log bundle are never published; we keep them privately. Reports from consoles without an active license are reviewed by us before anything is published. The console tells you this before you send a report.

  • Correspondence. If you email or call/text us, we keep the correspondence and related order records so we can support you and document how issues were resolved.

  • Site visits. This site is a static website. We do not run our own analytics or set our own tracking cookies. Third-party services the site loads — Stripe (checkout and fraud prevention) and Google Fonts (typefaces) — may receive your IP address and browser information as a normal part of serving those resources, and Stripe may set cookies used for checkout and fraud prevention. See Stripe's privacy policy for details.

How We Use It

  • To process, fulfill, and ship your order, and to send you receipts and tracking information.

  • To ship evaluation units, parts, or other items to people who register a free account, and to contact them about those items.

  • To activate and verify KHC Press Console software licenses (including activation from your phone), to keep a record of who holds each license, and to prevent license misuse.

  • To investigate and fix problems reported from the console.

  • To respond to questions, provide support, and process returns and refunds.

  • To prevent fraud, resolve payment disputes, and comply with legal and tax obligations.

  • We do not sell your personal information, and we do not use it for third-party advertising. We do not send marketing email.

Who We Share It With

  • Stripe, our payment processor and customer-record system, which handles checkout, payments, and refunds and stores order and registration details.

  • Shipping carriers (such as USPS, UPS, or FedEx), which receive your name and shipping address to deliver your order.

  • Amazon Web Services, which hosts our licensing and diagnostic services and stores their records, and sends checkout verification codes by email and text message.

  • GitHub, where the description and diagnostic summary of a diagnostic report are published publicly — never your company name, first name, device identifier, or log bundle.

  • Authorities or card networks where required by law or to respond to a payment dispute.

  • Service providers that keep the Site running — our web host, our email provider, and Google Fonts — which receive only the standard technical data (such as IP addresses) needed to serve you, as described above. No one else.

Retention and Your Rights

We keep order records, registration records, and related correspondence for as long as needed for support, warranty, dispute, tax, and legal purposes, then delete them. License and seat records are kept for as long as the license exists, so a console can always be told whether its seat is still valid; the license activity log is kept for two years, and phone pairings for at most 24 hours. Diagnostic reports — your company name, first name, description, the diagnostic summary, and the device identifier — are kept for two years, and their log bundles for 180 days. A published diagnostic issue stays public on GitHub until we remove it — ask us and we will delete it. You can ask us what information we hold about you, ask us to correct it, or ask us to delete it (where we are not legally required to keep it) by emailing shane@khcprecision.com. We honor applicable privacy rights, including those under the California Consumer Privacy Act.

Security and Changes

The Site and all payment pages are served over HTTPS. Payments are processed by Stripe, a certified PCI Service Provider Level 1 — the highest level of payment security certification. We may update this policy from time to time; the version posted here applies.
